What we collect
When you place an order
Your name, company name, email address and phone number.
Billing and delivery addresses, the name and phone number of the delivery contact, and any delivery or access instructions.
What you ordered, what you paid and your order history with us.
Card payments are handled by our payment provider, Stripe. We never see or store your full card details.
When you send an enquiry, call, email or chat to us
The details you give us: usually your name, email, phone, company, delivery address and your message.
Our emails, chat messages and notes of calls with you, so we can follow up and keep a record of what was agreed.
Trade and credit accounts
If you apply for a credit account, we collect your business details and may check them with a credit reference agency before we agree a credit limit.
When you use our website
Anonymous usage statistics. We count visits with Umami, which doesn't use cookies and removes part of your IP address before anything is recorded. We only see totals, never individual visitors.
Analytics and advertising cookies, only if you accept them. If you click Accept on our cookie banner, we load Google Tag Manager and tools such as Google Analytics and advertising tags. We also remember the page you arrived on and the site or advert that sent you, and attach it to any enquiry you send. If you reject cookies or don't choose, none of this happens.
Our cookie policy has the details, and you can change your choice at any time with the Cookie settings link at the bottom of every page.

Marketing
We may email you about products similar to ones you've bought or asked about. Every email has a way to unsubscribe, or you can tell us at any time. We never sell your information or pass it to other companies for their own marketing.
Who we share it with
We only share what each one needs to do its job for us:
Stripe, to take card payments and prevent fraud.
Couriers, hauliers and specialist delivery companies, to deliver your order. They get your name, delivery address, delivery contact and any access instructions.
The suppliers who run our systems: our order management and website platform, website hosting, email, live chat and analytics providers. They process information on our behalf and can't use it for anything else.
Google, for analytics and advertising, only if you accept cookies.
Credit reference agencies, if you apply for a credit account.
Our accountants, insurers and professional advisers, where they need it to advise us.
HMRC, the police or other authorities, where the law requires it.
Information sent outside the UK
Some of our providers, such as Stripe and Google, may process information outside the UK. When they do, it's protected by UK adequacy regulations or by contracts approved by the UK government (the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses).
How long we keep it
Orders, invoices and payment records: 6 years from the end of the financial year they belong to, as tax law requires.
Enquiries and quotes that don't lead to an order: 2 years from our last contact.
Emails, chat messages and call notes: as long as we keep the order or enquiry they relate to.
Your cookie choice: 6 months, stored in your browser.
After that, we delete the information or make it anonymous.
Your rights
You have the right to:
get a copy of the personal information we hold about you;
ask us to correct anything that's wrong or incomplete;
ask us to delete your information, unless we need to keep it (for example, invoices we must keep for tax);
ask us to restrict how we use it, or object to us using it on the basis of our legitimate interests;
object to marketing at any time;
receive information you gave us in a format you can pass to someone else;
withdraw your consent at any time, for example by changing your cookie settings.
To use any of these rights, email sales@thecodestore.co.uk. We'll reply within one month. It's free, unless a request is clearly unfounded or excessive.
